Christmas Close-down Memo Template

In the lead up to Christmas, you should be letting your team know if your organisation is planning a close-down period; the dates and duration, and what it means for them.


To prepare for this:

  1. Check applicable Awards, Agreement and Employment Contracts for notice periods and requirements

  2. Check leave balances to see how many (if any) employees (other than casuals) will have insufficient leave

  3. Decide how many hours / days' leave you are willing to pay in advance (if any)

  4. Prepare a memo, based on the attached template, or send via an email or other written communication that can be accessed at a later time (e.g. not a SMS or via a messaging platform that does not retain its records)

  5. Send out in time to meet the requirements as per point 1 (e.g. 28 days - by 21 November 2025)
