File Upload

ELMO have (somewhat recently) added a function in the Learning module that allows employees to upload files.  

This section can be utilised to upload any 3rd party certificates to a learning module and is a recordable activity, meaning once uploaded (and approved, if applicable), it marks the course as complete.  

Simply add a section to your course and choose “File Upload”, add the activity and in the description, what certificate you would like the employee to upload after completing the course.  

This way the certificate provided by the 3rd party provider after completing can be recorded in the course in ELMO and can also be approved by a Manager if applicable (recommended).

From the employee’s view, they will be able to seamlessly upload the certificate here and submit (no more uploading via External Training and then completing an acknowledgement).

Best practice – Face-to-Face learning

Often organisations don’t utilise ELMO to capture all Face-to-Face learning done both internally and externally. You don’t have to miss any records, as it can be done retrospectively!

Create a course with a Face-to-Face learning section. Add an activity, add a record of the meeting/session content, and save to start creating sessions for the learning.

Start adding sessions by clicking on the +New Session button. Once the session is created you can then assign all the employees who attended the Face-to-Face session.

Note: The course must be set to available in the course settings before you can start signing employees up to the Face-to-Face session.

Start assigning employees by clicking on Attendance next to the session. From here you can manually sign up the employees that completed the Face-to-Face learning.

Once you have signed up the employees, you can then mark their attendance.

This way ELMO Learning is utilised to its full capacity, capturing and recording all Face-to-Face learning that has been completed.

HR Operations – Current content

ELMO learning has a number of sections you are able to utilise in order to store pdf’s, PowerPoint presentations or any other type of file previously utilised in your organisation as learning.

Converting this collateral into a learning course in ELMO course builder can be time consuming. So as an alternative, these can be added in a section of the course as an activity.

The Acknowledgment activity allows you to upload a file of up to 20MB for the employee to view.

They won’t be able to acknowledge that they have read and understood the learning until they have downloaded and opened the file. This is also a great way to capture policy acknowledgments!

If the file is too big to add as an acknowledgment, you also have the option to add it as a link, through one of the non-recordable activities, such as a label or page; or you can link out to your intranet, YouTube, SharePoint, or other file location in the description.

Add the link by clicking on the link button in the menu bar where you can write a description.

You can then insert a URL to the file for the employee to click on and view.

Note: when loading a PowerPoint presentation, we recommend saving it as a PowerPoint show (*.pps) rather than as a PDF, so that any animations will show. If the PowerPoint presentation would usually be presented in person, with narration/commentary, this can be captured as an audio file per slide and then exported as a video (*.mp4).
